RESIDENTIAL AND COMMERCIAL PROPERTY MANAGEMENT SERVICES

Administration

  • Management the body corporate accounts;
  • Control of the rent roll through the issuing of monthly statements, collection of levies, control and recovery of outstanding levies and levy clearance certificates;
  • Compilation of the body corporate’s annual budget and the administration of monthly income and expenditure;
  • Provision of a monthly financial update to trustees;
  • Issuing of notices including, AGM’s, attendance records, proxies, financials and communication with residents;
  • Attending to the legal matters of the Client including, the review and supervision of contracts relating to staff and security, drafting of necessary resolutions of the body corporate, disputes, hearings and arbitrations;
  • Maintenance of a database of owners and tenant detail in case of an emergency or dispute;
  • Attending quarterly trustees meetings providing the minutes and feedback on the month’s events;
  • Management of insurance claims, processing and payments and annual renewal of contracts;
  • Assisting trustees with portfolios and management procedures in line with the Act and prescribed management rules;
  • Maintenance of all buildings records;
  • Establish and draft legal conduct rules for filing in the deeds office;
  • Establish a fines register for breach of the conduct rules and resolutions;
  • Managing and resolving municipal errors and disputes;
  • To perform any such task as may be reasonably required in connection with all administration matters arising from the management of the building.

Management

  • Project management of all contractors including the request for quotations and site meetings;
  • Supervision of staff, delegation of duties and responsibilities, hours and leave;
  • Managing building maintenance including gardens and security;
  • Supervising domestic rooms, occupation and access in accordance with the municipal by laws and conduct rules;
  • All other managerial duties, not specified above, allocated by the Trustees, to delegate accordingly, for the benefit, upkeep and maintenance of the building;
  • All communication with residents including complaints, queries, emergencies, claims, to be directed to the relevant trustee, if necessary.
